Dictate Emails 3× Faster with ScribAI
Email takes up a huge part of the workday — the average professional spends over 2.5 hours on email daily. Dictation can cut that time significantly, but built-in tools often don’t work well in email clients.
ScribAI was built to solve this. Push-to-talk dictation that works in every email app on Windows.
Works in Every Email App
Unlike Windows voice typing, which doesn’t work reliably in all apps, ScribAI pastes via the clipboard — so it works anywhere you can paste text:
- Outlook (desktop, new Outlook, and web)
- Gmail in Chrome, Edge, Firefox, or any browser
- Thunderbird, eM Client, and other desktop email clients
- Webmail from Yahoo, ProtonMail, Zoho, and more
- CRM email integrations (HubSpot, Salesforce)
How It Works for Email
Open a new email or hit Reply in your email client.
Press and hold Ctrl+Win+A. Say your email naturally — “Hi Sarah, thanks for sending the proposal. I’ve reviewed it and have a few questions about the timeline. Can we set up a call this week?”
ScribAI transcribes your speech and pastes it into the compose box. Edit if needed, then send.
AI Compose — Let ScribAI Draft the Reply
Sometimes you don’t want to dictate word for word. With AI Compose (Pro feature), you can give ScribAI a brief instruction and it writes the full email for you:
- Hold Ctrl+Win+X and say: “Write a polite reply saying I can’t attend the meeting but I’d like the notes afterwards.”
- ScribAI generates a complete, professional email and pastes it at your cursor.
- Review, adjust tone if needed, and send.
This is especially useful for routine replies, scheduling emails, and follow-ups where the content is predictable but still takes time to type out.
Why Dictation Is Faster for Email
Most people speak at 125–150 words per minute but type only 40–60 WPM. For a 200-word email, that’s the difference between 80 seconds of speaking and 4 minutes of typing.
Multiply that across 30+ emails per day and dictation saves 60–90 minutes daily for heavy email users.
Push-to-talk makes this even faster because there’s no UI to manage — hold, speak, release, done. No clicking a microphone button, no toggling dictation mode on and off.
Privacy for Sensitive Emails
If you handle confidential correspondence — legal, HR, medical, financial — ScribAI’s Local mode processes all speech on your device. Audio is never transmitted anywhere. This makes it suitable for:
- Healthcare professionals dictating patient-related emails (HIPAA considerations)
- Lawyers dictating privileged communication
- Corporate environments with strict data policies
Email Types That Benefit Most from Dictation
Not every email benefits equally from dictation. Here’s where the time savings are largest:
Client and customer replies
These emails are high-stakes and high-volume. They need to be professional, specific, and timely. Dictation lets you speak a reply the moment you finish reading the email, while the context is fresh — rather than letting it sit in your inbox while you psych yourself up to type.
Internal status updates and meeting follow-ups
These are usually longer (100–300 words) and often get skipped or abbreviated because of how long they take to type. With dictation, a thorough meeting summary takes 2–3 minutes instead of 15. Teams that switch to dictating internal updates consistently report better documentation and fewer “what did we decide?” re-conversations.
Scheduling and logistics
Scheduling emails are predictable but tedious. Use AI Compose for these: hold Ctrl+Win+X and say “Schedule a 30-minute call with David next week, I’m free Tuesday 2pm or Thursday morning.” ScribAI drafts the full email. Review and send in under 30 seconds.
Cold outreach and sales emails
Sales professionals who dictate personalised outreach consistently out-pace those who type templates. Dictation naturally produces warmer, more conversational emails because you’re speaking, not composing. Use AI Compose to tighten the opening and close, but keep the personal context you dictated.
Email threads where every reply takes 3 minutes to type
Some email chains involve 10–20 back-and-forths. If each reply takes 3 minutes to type, that’s 30–60 minutes on a single thread. Dictation reduces per-reply time to 45–90 seconds. The thread gets resolved faster and with less mental energy.
App-by-App Setup Guide
Outlook (desktop)
- Open ScribAI — it runs in the system tray
- Open Outlook and click Reply (or New Email)
- Click inside the email body
- Hold Ctrl+Win+A and speak your email
- Release — text appears at your cursor
Tip: click above your email signature before dictating, so text pastes in the right place.
Gmail in Chrome or Edge
- Open a Compose or Reply window in Gmail
- Click in the message body
- Hold Ctrl+Win+A and speak
- Release — text pastes automatically
Gmail’s compose window accepts clipboard paste, so ScribAI works identically to any other text field.
Webmail (Yahoo, ProtonMail, Zoho)
Same steps as Gmail. ScribAI pastes at the cursor in any browser text field. No extensions or plugins needed.
CRM email integrations (HubSpot, Salesforce)
HubSpot’s email compose window and Salesforce’s email tool both accept clipboard paste. Click in the message body, dictate, release. Works in both browser-based and desktop versions.
Time Savings by Email Volume
| Daily emails | Avg. typing time/day | Dictation time/day | Hours saved/week |
|---|---|---|---|
| 20 emails | 40–60 min | 14–20 min | ~2 hrs |
| 40 emails | 80–120 min | 28–40 min | ~4 hrs |
| 60+ emails | 120–180 min | 40–60 min | ~6 hrs |
Assumes average 150-word reply; typing at 50 WPM; dictation at 140 WPM plus ~30 sec transcription + review. Heavy email users (sales, support, executives) recover 5–8 hours per week — equivalent to a full workday.
Tips for Better Dictated Emails
- Don’t try to dictate a perfect email on the first pass — speak naturally, then do a 10-second scan for errors before sending. Trying to speak perfectly slows you down and reduces Whisper accuracy.
- Dictate in complete sentences — starting and stopping mid-sentence creates fragments. A complete thought per recording burst produces cleaner output.
- Use AI Compose for tone adjustment — dictate the content, then ask AI Compose to “make this more formal” or “add a friendly opening.” This separates content from polish and is faster than trying to dictate formal prose from scratch.
- Speak the subject line last — write the body first, then dictate a one-sentence subject that summarises what you said. Subject lines are easier to dictate after you know the content.
- Handle email addresses and URLs by keyboard — dictating email addresses and URLs is error-prone. Dictate the body, type the address manually, or paste it from elsewhere.
Frequently Asked Questions
Does dictation work while Outlook is loading or syncing?
Yes — ScribAI operates at the text-cursor level, independent of Outlook’s sync state. As long as the compose window is open and your cursor is in the message body, dictation works regardless of whether Outlook is fetching new emails in the background.
Can I dictate into Gmail on mobile via Windows Remote Desktop?
ScribAI runs locally on Windows, so it works when you’re remoting into your Windows machine from another device. The hotkey press is forwarded to the Windows session, ScribAI records from the Windows machine’s microphone (or a redirected microphone depending on RDP settings), and text pastes into the remote session. In practice this works, but audio quality over RDP can be lower than local use.
Will dictated emails look different from typed emails to recipients?
No. Recipients see standard text — there’s no metadata indicating dictation was used. The only difference you might notice is that dictated emails tend to be slightly more conversational in tone, which most recipients respond positively to.
How do I handle confidential emails?
Use ScribAI in Local mode (Settings → Speech Engine → Local). In Local mode, audio is processed on your machine by Whisper AI and immediately discarded — nothing is transmitted to any server. This is appropriate for HIPAA-covered communications, attorney-client emails, and any correspondence that requires confidentiality.
